Phone Numbers

The Phone Numbers screen displays a list of numbers that are assigned to your Customer’s account. You can search for any number, or use the menu options on the left to view only StandardToll Free, Hosted Fax, T38 Fax or Custom Caller ID numbers.

•   Standard – numbers that support inbound and outbound dialing as allowed within this customer’s account.

•   Toll Free – toll free numbers associated with this customer’s account.

•   Custom Caller ID – allows you to configure an un-ported, off-network phone number as the outbound Caller ID for your customer.  This feature is turned off by default.  Call Support to enable Custom Caller ID for your portal.

The list provides you with several fields of information for each number: Caller ID (CNAM), Rings To, Toll Free, Fax Capable and Status. There is also an Edit link which enables you to modify detailed settings for each number, including Call Routing and Caller ID.

Note: Custom Caller ID feature is turned off by default. Call Support to enable Custom Caller ID for your portal.

Filtering Phone Numbers

Using the 3 dots button, you can filter phone numbers and view only the numbers of interest to you.

  1. From the Phone Numbers page, click the 3 dots button. The Phone Number Filters pop-up window appears.
  2. In the filters column, check / uncheck the Yes and No boxes for Toll Free, Fax Capable, and SMS Capable.
  3. You can also choose the following:
    1. Items to display per page
    2. Columns you want visible
    3. Or, click Restore to Default
  4. Click Apply.

The Phone Numbers page shows only the phone numbers that match your criteria. If no phone numbers match your criteria, a message informs you that there are no matches to your filter.

Editing Phone Numbers

To edit phone numbers:

  1. From the Phone Numbers tab, either:

– Click a phone number.
OR
– click the Edit icon at the left  of the Phone Number.

  1. Edit the field(s) as needed (see the table below for a description of each field).
  2. Click Save.

Caller ID Settings–  Caller ID: enter the Caller ID name that should be displayed or click Use Default
–  Internal Presentation: enter the caller ID name for internal presentation if different from Caller ID
–  Show Caller ID: check the box if the caller ID should display
Call RoutingSelect a treatment for the phone numbers you want to view. Choices are:

–  If Holiday: If a call comes in on a day that is configured as a holiday, the call will be routed as directed. If no routing is selected, the call follows the Route To.
–  Route To: All incoming calls to this number are routed based on the rule defined by this field. You choose to route to a Time_FrameAuto_AttendantExtension, etc. Once you select how to route the call, populate the secondary dropdown to further define the route.  Picture below for these.
Features–  Hold Music Group – This feature specifies the music file(s) to be played when a call is placed on hold. If another Group isn’t selected, the Default Group will be used; it contains one song and cannot be modified. 
– To manage hold music, use the Hold Music menu option in the left panel.

–  Screen for Privacy: This feature screens incoming calls for telemarketers and other automatic dialer programs. If Yes is selected, callers who do not present a Caller ID will hear a greeting asking them to enter a Caller ID number using the dial pad on their phone before the call will be connected.
Advanced Settings–  Currently Active:
–  Yes: the number will be entered into the gateway server, and will be able to accept incoming calls.
–  No: the number will not be able to accept incoming calls.
–  Carrier Zone: This is the PSTN Carrier Zone ID; if unknown, use the default value “Zone 1.”

Exporting Phone Numbers

From the Phone Numbers page, click the Download CSV button.

The exported phone numbers will be in a CSV format file that you can then open in a spreadsheet app (ex. Microsoft Excel).
