How to Use Yealink Desk Phone Functions & Features

Placing a Call on Hold
  • To Hold a Call: While on an active call, press the Hold softkey button at the bottom of your screen (or press the physical Hold button on your phone keypad, marked with a letter or symbol depending on the model). The line key will flash slowly to indicate the call is waiting.
  • To Resume the Call: Press the Resume softkey button, or press the flashing line key button directly to jump back into the live conversation.
Transferring Calls (Blind Transfer)

Use this method if you want to send a call straight to an extension immediately without speaking to the coworker first.

  1. While on an active call, press the Options softkey button on your screen [56wNfv].
  2. Scroll to select Transfer and press the OK softkey button [56wNfv].
  3. Dial the specific extension number or 10-digit telephone number [56wNfv].
  4. Press the Transfer softkey button to complete the process [56wNfv]. The call is automatically transferred away from your handset [56wNfv].
Transferring Calls (Attended / Warm Transfer)

Use this method if you want to speak with your coworker privately to announce who is calling before sending the call over.

  1. While on an active call, press the Options softkey button on your screen [56wNfv].
  2. Scroll to select Transfer and press the OK softkey button [56wNfv].
  3. Dial the specific extension number or 10-digit telephone number [56wNfv].
  4. Press the Green Call button on your phone keypad to place the outgoing call [56wNfv].
  5. When your coworker answers the line, announce the caller privately [56wNfv].
  6. If they are ready to accept, press the Transfer softkey button to link them together [56wNfv]. The call is automatically connected and transferred [56wNfv].
Initiating a 3-Way Conference Call

Use this feature to link three separate callers together into a single conversation through a conference call on your Yealink Phone.

  1. While on an active call with Caller 1, press the Conf (Conference) softkey button at the bottom of your screen. This will automatically place Caller 1 on a temporary hold.
  2. Dial the extension or full 10-digit telephone number of Caller 2.
  3. Once Caller 2 answers the line and is ready to join, press the Conf softkey button again. All three parties will instantly be merged into the same voice bridge.
Accessing and Checking Voicemail
  1. Press the physical Message button on your Yealink phone keypad (marked with a small envelope icon).
  2. Follow the automated voice prompts to enter your unique voicemail PIN passcode.
  3. Press 1 to listen to new messages, 2 to save messages, or 3 to delete them.
Changing Your Active Audio (Handset vs. Speakerphone vs. Headset)
  • Speakerphone: Press the physical Speaker key button at the bottom right corner of your keypad (marked with an audio speaker icon) to initiate or switch a call to speaker.
  • Headset: If a compatible headset is plugged into the back of your Yealink base, press the physical Headset key button on the face of the phone to route audio directly through your earpiece.
  • Handset: Simply lifting the plastic receiver off the base will automatically pull any active audio back to your ear.
Muting Your Microphone
  • To Mute Your Voice: Press the physical Mute button during a live call (marked with a microphone icon with a line through it). The button will light up red, indicating the caller cannot hear anything you say.
  • To Unmute: Press the red Mute button a second time to turn the light off and resume normal audio tracking.
